International Patient Office

Welcome to the website of the International Patients Office (IPO) of the University Medical Center Mannheim.

The University Medical Center Mannheim provides highly specialized health care based on world-class standards and evidence-based based protocols for more than 170.000 outpatients and 44.000 inpatients every year.

Combining state-of-the-art diagnostic and therapeutic facilities such as GammaKnife for high-precision radiation of brain tumours, hybrid operating theatres using intraoperative ct or mri scans,  robotic assisted surgery (2 da Vinci systems) or augmented realitiy enhanced operating microscopes, experts from over 30 departments cooperate to achieve the best possible outcome for every patient.

Submitting your Medical Request

Thank you for your interest in our hospital. We ask you to submit your medical request through our online portal for International Patients.

Through our portal you may select between an out-patient consultation via video or a treatment request for an in-patients stay. After we receive your request, our IPO team will discuss your case with the head of the appropriate medical clinic to provide you with optimal care.

In the case of a treatment request for an in-patients stay, a team of physicians will then create an individualized treatment plan based on the medical records you provide. Please understand that this often interdisciplinary and multi-professional process usually takes a few business days. We will then offer you an online appointment with your doctor to discuss an appropriate treatment plan. Once you agree to the treatment, our IPO team will assist you in making specific plans for your visit.

As a self-financed patient, you will be provided with an individual cost estimate for your stay in our hospital. Please note that you will be required to pay the amount listed on the cost estimate prior to beginning treatment. We do not accept cash payments.

Our team will also provide you with an invitation letter to apply for your medical visa. Should you require assistance during your stay, we will be happy to provide an additional invitation for an accompanying person to travel with you to Mannheim. In the event that the patient is a minor (under 18 years old), we can invite both parents to travel with them.

Your Stay

Before your treatment begins, an administrative registration is required at our IPO office. Our team will arrange an appointment with you in advance. As a rule, registration takes place the day before your treatment/admission. You will find us in the centre of the clinic; Building 43, Floor 4, Offices 417 - 421. After completing your patient registration, you will receive your patient pass.
During your stay in our hospital, our team is happy to help address any questions you may have.

Following your Treatment

At the end of your treatment, we invite you once again to visit our International Office. At this time, we would be glad to provide you with a copy of your hospital records and answer any remaining questions. You will receive your final invoice with a detailed overview of your payments and medical services after the completion of your treatment.

In order to process your request, we need you to indicate the patient’s full name, date of birth and patient number.

After your journey home, we will of course continue to be available to answer any questions you may have.

European Union (EU) Insurance

Submitting your Medical Request

If you are currently residing outside of Germany and are planning to enter the country specifically for medical treatment, you will not be automatically covered by your EU insurance provider. You will first need to apply for an S2 certificate (portable document S2/ formerly "E112"). This certificate guarantees coverage of standard benefits for your treatment. Please contact your insurance prior to booking an appointment to see if you are eligible for an S2 certificate.

  • Should you receive an S2 certificate: You will NOT need to register through the IPO portal. Rather, we ask you to please submit the S2 certificate directly to the in-patient billing department under the following email address: abrstationaer@remove-this.umm.de
  • Should you NOT receive an S2 certificate: Since your health insurance will not be covering the treatment costs, you will have to pay the costs yourself. In this case, we ask you to submit your request for treatment through this portal as Nicht versichert (Selbstzahler) / Not insured (Self-financed).

If you are experiencing a medical emergency while in Germany, the emergency response number to call is 112. Treatment in the emergency room is generally covered by your EU health insurance. It is always a good idea to contact your health insurance provider prior to entering Germany to fully understand the terms and conditions of your coverage in the EU. In some cases, the costs may not be fully covered. For example, if your doctor advised you against the trip due to an underlining medical condition.

Private international health insurance (non-European Union)

Submitting your Medical Request

If you are covered by an international medical insurance provider (non-EU), that will be covering your treatment in Germany, you do not need to register through our IPO portal. Rather, we ask that you please submit a copy of your insurance policy directly to the in-patient billing department under the following email address: abrstationaer@remove-this.umm.de

If your insurance will not be covering your treatment costs, you will have to pay the costs yourself. In this case, we ask you to submit your request for treatment through this portal as Nicht versichert (Selbstzahler) / Not insured (Self-financed).

The International Patient Office and its staff  work to support our international patients looking for treatment at the University Medical center.

Please use the online portal for international patients to submit your inquiry for

  • a Video consultation
  • inpatient treatment (such as surgery)
  • a second opinion on cancer (tumour board), pathology or radiology reports

To register please keep all important documents (passport, doctor’s reports, radiological date and Corona vaccination certifikate) ready. It won`t take you more than a few minutes

Inquiries made by any other means will not be processed.

New, but non-life-threatening symptoms? Known conditions with our without acute exacerbation?
Please contact the service point of the city of Mannheim to have a treatment certificate issued. On presenting your treatment certificate you can make an appointment in one of our outpatient clinics at any time.

Severe acute symptoms? Acutely life-threatening condition? Non-manageable pain?
Please be sure to contact our emergency department (Notaufnahme). A treatment certificate is not necessary.
